Terms of Service

Last updated: October 2026

These Terms of Service ("Terms") govern your access to and use of PaddleStacks (the "Service"), operated by PaddleStacks ("we," "us," or "our"). By registering a club, logging in, or otherwise using the Service, you agree to these Terms. If you do not agree, please do not use the Service.

1. The Service

PaddleStacks is a management platform for pickleball and padel venues, including live queue management, self check-in, player statistics, tournaments, court rentals and online bookings, payment records, concessions, and related tools.

2. Club Registration

To register a club, you must provide accurate information, including a valid Reclub club URL and confirm your role as an organizer of that club. We use this to verify that clubs on our platform represent real, active communities. We reserve the right to reject or remove a registration if this information is found to be false or misleading.

3. Accounts and Access

Each club account has one or more staff logins. You are responsible for maintaining the confidentiality of your login credentials and PIN, and for all activity that occurs under your account. Notify us immediately if you suspect unauthorized access.

4. Plans, Trials, and Billing

5. Refunds and Cancellations

Payments made for PaddleStacks subscriptions are generally non-refundable, except where required by applicable law. If you believe you were charged in error, please contact us and we will review the matter in good faith. To cancel a subscription, simply do not renew it — there is no separate cancellation process required.

6. Acceptable Use

You agree not to use the Service to:

7. Your Data and Your Players' Data

You keep ownership of the player, session and booking data you enter into PaddleStacks, and each club's data is logically separated from other clubs on the platform. We do not sell your data.

As the club, you decide what information to collect about your players and customers and why. You are therefore responsible for having a lawful basis for it (usually the person's consent) and for telling people how their information is used. To help, we provide a short Player Privacy Notice and show it where players and customers enter their details. How we handle information is described in our Privacy Policy.

You confirm that you are allowed to enter any information you add on someone else's behalf, and you agree not to enter information you are not allowed to share, such as a child's information without a parent's or guardian's consent.

8. Rentals, Bookings and Payments Between a Club and Its Customers

Open-play fees, court rentals, online bookings and sales recorded in PaddleStacks are between the club and its players or customers. PaddleStacks provides the tool to record them. We are not a party to those transactions, we do not hold the money, and we are not responsible for a club's prices, rules, refunds or cancellations. A customer with a question about a booking or payment should contact the club.

9. Third-Party Services

The Service relies on third parties, including DigitalOcean (hosting), Cloudflare (domain and analytics), PayMongo (subscription payments) and Brevo (emails), and, where a club imports a Reclub RSVP list, Reclub's public pages. Their availability and terms are outside our control.

10. Suspension and Termination

We may suspend or terminate a club's access to the Service if these Terms are violated, if fraudulent or abusive activity is detected, or for other legitimate business reasons, with notice where reasonably possible. You may stop using the Service at any time.

11. Service Availability

We aim to keep PaddleStacks available and reliable, but the Service is provided "as is" without warranties of any kind. We do not guarantee uninterrupted or error-free operation and are not liable for losses arising from downtime, data loss, or technical issues, to the fullest extent permitted by law.

12. Limitation of Liability

To the maximum extent permitted by law, PaddleStacks and its operators shall not be liable for any indirect, incidental, or consequential damages arising from your use of the Service. Our total liability for any claim relating to the Service shall not exceed the amount you paid us in the twelve (12) months preceding the claim.

13. Changes to These Terms

We may update these Terms from time to time. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms. Material changes will be reflected by an updated "Last updated" date above.

14. Governing Law

These Terms are governed by the laws of the Republic of the Philippines, without regard to conflict of law principles.
